The Life of a Virtual Assistant

People often ask what working as a Virtual Assistant looks like — and the truth is, for me, no two weeks are ever quite the same. My work varies between helping charities streamline their administration, working with businesses on their development, and supporting clients with events and publicity. It's also important to me to fit in family moments along the way. Here’s a look at a recent week in The Life of a Virtual Assistant.*

Monday
I always start the week by planning ahead — reviewing my priorities, checking emails, and setting out tasks for each client.
The previous week had been a big one: I supported a client in person at their annual conference. It was the culmination of months of planning alongside their brilliant team, and it turned out to be a huge success. This week began with reflection — reviewing the event evaluation and preparing a summary report for the team to capture key insights and ideas for next year’s conference.
Tuesday
The day started with a debrief meeting with my client and their team to discuss how the conference went. Together, we highlighted what worked well, what could be improved, and agreed on follow-up actions to build on the event’s success.
In the afternoon, I switched gears to focus on another client who I have been supporting to prepare a tender application that is vital to their business plans. I spent time working through the submission requirements and reaching out to key contacts to gather the necessary information.
Wednesday
Midweek was all about marketing and creativity. For one of my clients, I manage event advertising — so today I drafted copy, prepared images, and sent artwork to the publications where I had already booked adverts. I also refreshed their Canva templates to create up-to-date graphics promoting their upcoming show.

Thursday
Thursdays always include an important Teams meeting with one of my clients, bringing together their team from across the UK to discuss business development. I reported on progress in my areas of responsibility, took minutes, and circulated them afterwards to ensure that everyone in the team stayed aligned.
For a couple of hours on Thursday, I also swapped my virtual office for something a little different — joining my daughter on her school trip to the Downs. It was a lovely opportunity to spend some extra time with her, support the school, and enjoy the beautiful Eastbourne countryside. One of the best parts of being a Virtual Assistant is the flexibility it offers — being able to balance meaningful work with moments like these.

Friday
With one of my clients heading on leave the following week, Friday was about planning ahead and tying up loose ends. We reviewed ongoing tasks, confirmed priorities for the coming week, and made sure everything was in place to keep things running smoothly while they’re away.
Then, it was time to swap spreadsheets for celebrations — it was my daughter’s birthday! We finished the week with cake, laughter, and dancing around the living room to the new Taylor Swift album. The perfect way to round off a busy week.
Wrapping Up the Week
It was a busy but rewarding week — a great reminder of why I enjoy what I do. The variety keeps things interesting, and the flexibility means I can be fully present both for my clients and my family. No two weeks as a Virtual Assistant are the same — and that’s exactly how I like it.
